Security & Privacy Awareness
CEO Fraud / Social Engineering Awareness
We occasionally receive an increasing number of reports about email scams. Typically, users receive emails that appear to be from a group leader or director. When users reply to these emails, they are asked to purchase gift cards (e.g., Apple or Amazon) for the supposed manager.
Email addresses consist of an actual email address (e.g., erika.mustermann@mpimet.mpg.de) and may also contain a display name (e.g., “Erika Mustermann” erika.mustermann@mpimet.mpg.de). Unfortunately, many email programs initially only display the display name. However, this can be set completely freely and thus be “faked.”
Upon reviewing current scam attempts, it's evident that the email addresses are generic Gmail addresses (e.g., desk909@gmail.com), rather than those of the supposed group leaders.
The following applies in general:
- Always check the real email address when replying to emails.
- If the display name and email address do not match, extreme caution is advised.
- Do not reply to such emails!
- If you are uncertain, use another channel, such as telephone or chat, to contact the group leader or director.
- No MPI group leader or director will ever ask an employee to purchase gift cards!
- Financial transactions are carried out exclusively via the administration.
Responsible Use of Public AI Tools
ChatAI provided by GWDG is web service, which hosts multiple LLMs on a scalable backend. It runs on their cloud with secure access to run the LLMs on their HPC systems. It is a secure solution to commercial LLM services, where none of your data gets used or stored on their systems.
If you need help deciding which model fits best to your needs, please check GWDGs documentation about available models.
When working with public/commercial AI tools (or AI tools in general), keep in mind to follow a few guidelines:
- Data Privacy: Never input personally identifiable information like private or company data. Do not upload sensitive data.
- Accuracy & Fact-Checking: AI models can “hallucinate” (state false facts with absolute confidence). Never use AI-generated facts, citations or legal advice without cross-referencing a primary source. Look for biases. If the response feels stereotypical or one-sided, ask for a different perspective or correct it manually.
Software & Services
Please use only approved software. External services like Google Forms or Drive are not allowed for data protection reasons.
We provide the following word processing programs:
- ShareLaTeX (web-based, collaborative editing of LaTeX documents)
- HedgeDoc Pad (web-based, collaborative markdown editor)
The GWDG also provides a couple of external services, e.g.:
- GWDG-ChatAI (web-based LLM service, no data gets used or stored on their systems)
- Nextcloud (cloud storage for sync and share)
- LimeSurvey (web-based, creation of online surveys)

Using services at DKRZ
For access to Levante you need to do the following:
- Import your user account at DKRZ
- Accept DKRZ's Guidelines for the use of information-processing systems.
- Be a member in at least one active HLRE project.
As your imported DKRZ account and its services are independent of MPI, you should contact DKRZ support directly for any service-related issues.
1. Import your account
To import your MPI-account to DKRZ, you need to log in in with your m-account (e.g. m123456) at https://luv.dkrz.de/accounts/login/external/.
Please keep in mind that only certain settings like password, login shell and email address will be imported. They are not synchronized later. If you want to keep the same settings for your MPI-M and DKRZ account, you will have to change them for both user accounts.
2. Accept DKRZ's Guidelines
After successfully importing your account, you need to accept DKRZ's Guidelines for the use of information-processing systems of the Deutsches Klimarechenzentrum GmbH (DKRZ) at https://luv.dkrz.de/user/profile/. Fill out the form and accept their guidelines for use at the bottom.
3. Become a member in at least one active HLRE project.
After you successfully logged in at https://luv.dkrz.de, you can request to join a project on your projects page or ask your group leader to add your account.
To join an existing project, please visit: https://luv.dkrz.de/projects/ask/
If project admins accept your request, the DKRZ will create a full account for you. You will also receive an email with further instructions once the account is ready.
To access Levante, the project administrator must explicitly grant you permission to do so.
